Ancillary Meetings

How to Request an Ancillary Meeting
Deadline: March 30, 2023

The ISTH encourages affiliates to take advantage of this opportunity and has established a set of guidelines to be followed when planning and hosting ancillary meetings during the ISTH 2023 Montreal Congress.  All ancillary meetings held in conjunction with the ISTH Congress, from Sunday June 25, 2023 through Wednesday, June 28, 2023 must adhere to these guidelines, regardless of the meeting location.

Non-profit organizations, academic institutions and non-commercial study groups topically related to ISTH and/or the ISTH 2023 Congress may apply to hold Ancillary Meetings during the ISTH 2023 Congress.

Based on the space availability or meeting room requirement the space may either be allocated at the Palais des Congrès de Montréal or the ISTH Headquarter hotel solely at the discretion of the ISTH. 
 
Guidelines for Ancillary Meetings
Meeting rooms will be appointed by the ISTH. The ISTH does not allow any companies or organizations to schedule education symposia at/in the meeting rooms. In order to obtain meeting space, all meeting room requests must be submitted via the Meeting Room Request form to ISTH.

Type of meetings allowed

  • Non-profit organization meeting (such as Board or committee meetings)

  • Editorial Board meetings

  • Study section/groups or investigator meetings

  • Other business meetings of academic institutions or scientific interest groups

 

Requests for an ancillary meeting room should be received by March 30, 2023.  Requests received after March 30, 2023 and before May 25, 2023 may still be considered based on remaining availability. No meeting room requests will be considered after May 25, 2023.

Requests made on or before March 30, 2023 will be notified in late April.  

​

Meeting times: 

Sunday, June 25 – Tuesday, June 27 between 08:00 and 19:00
Wednesday, June 28 between 08:00 and 12:00

 

Requests for space must include time for set up/tear down of your event. ISTH cannot guarantee all requests will be fulfilled.

 

Maximum size or attendance: 30 Boardroom 
 

Maximum length: 2 hours

  • Please note that: Commercial entities may rent (at a cost), Hourly Industry Meeting Rooms – to inquire about availability, please contact: alisa_pachella@isth.org 

 

Standard Set Up and Equipment includes:

  • Boardroom or hollow square style room set up, screen & projector at no cost.

  • Additional furniture, A/V equipment, catering and room setup changes will need to be ordered by the organizers of the ancillary meeting at their costs (ISTH will provide information and contacts for respective providers).

 

Please also note that ISTH will not publicly announce or list any Ancillary Meetings. It is the responsibility of the respective ancillary meeting organizer to inform their meeting participants about all logistics.

 

Cancellations: If your meeting has been approved and changes are necessary, please email meetings@isth.org with any cancellations or changes to your meeting, up until the time of your event. Please note that ISTH cannot guarantee room availability in the case of a change of date/time.
